Shortcuts

Modification of the product data on Sellbery can be done manually or with the help of Shortcuts.

Shortcut is a set of manually configured rules for different Attribute Groups that can be applied to products on Sellbery to modify their properties based on specific conditions.

Shortcuts can be created for each Export Service on Sellbery and applied to the products in that Export Service. The product data is changed automatically based on the rules in the Shortcut.




How to Create Shortcut



We will review the process using eBay store connection as an example.

Go to eBay Settings > Shortcuts and click Edit.



Select the Attribute Group for which a shortcut will be created and click "Create New".

There, you can see the list of Attribute Groups that exist for eBay connection and the number of already existing Shortcuts in front of the group name.

The Attribute Groups available for eBay are ‘Description’, ‘Inventory & Pricing’, ‘Dimensions’, and 'Category Specific'. Attribute groups are mostly predefined and contain the attributes relative to their name. For example, the ‘Description’ group contains Name, Description, Short Description, and Tags Name attributes.



Now you can see the Shortcut settings and the list of attributes that belong to the selected group.



Create the Shortcut Name then setup the desired rules for each attribute.

Attribute rule is a way to change the value of a specific attribute based on a certain condition.

For example, you can input the contents of another attribute in any of the fields, or add a custom text that will be displayed instead of the original attribute value. You may also combine the custom text with another attribute value within the same field. The resulting value will replace the original content of the field (if any) for all products to which this Shortcut will be applied.

On the right side, you can select a product and preview the changes. With this kind of configuration, you will see this:



Once all the desired fields are filled in, just press the 'Save' button on the right side of the page.

Good job, the Shortcut has been created and now can be applied to your products!

It is not mandatory to create a rule for each attribute on the list. You should only modify the fields that need their data changed for all or some of your products.


How to Apply Shortcut



Now, you can use the shortcut you have created to update the products in your Export Service.

To apply the shortcut, you need to go to the product list in the Export Service, select one or more products, and press the ‘Shortcut’ button.



You will see the pop-up window in which you can select the necessary Shortcut for each Attribute Group and apply them by pressing the ‘Save’ button at the bottom.



After that, the rules configured in the corresponding Shortcuts will be applied to the selected products.

If Shortcuts cannot be applied due to some errors, you will see a pop-up notification with the description of the problem.

You may also apply the Shortcut on the simple product editing page in the Export Service.




"Custom" Shortcut



Sellbery can automatically change the Shortcut applied to the products to "Custom". In this case, the rules created in the Shortcut stop working for all attributes in the affected Attribute Groups until the shortcut is changed back to the necessary one manually.

There are two main reasons that may cause such a change:

One of the attributes in the group to which the Shortcut is applied has been modified manually.

The use of Shortcut suggests that any changes that need to be done in the field values of a specific Attribute Group will be done with the help of configuring the necessary rules in the Shortcut. So, any manual changes made in the fields that belong to such a group may interfere with the rules of the Shortcut. To avoid any issues with the product data in such a case, the Shortcut is changed to "Custom", and the automatic data sync between the products in Export Service and their copies in Sellbery Service stops until the changes have been confirmed.

Let's review an example:

You have created a Shortcut named "New Description" for the "Description" Attribute Group.
In this Shortcut, you have created a rule according to which the "Description" field will include the values of "Name"+"Color"+"Size"+"Short Description" fields.
You have applied this Shortcut to some of the products in the Export Service.
Then you wanted to change the "Description" for one of these products. You opened the product editing page and changed the "Description" of the product manually.
Due to the fact that the field for which the rule in the Shortcut was created ("Description") has been modified manually, the Shortcut for this product is changed to "Custom". If you want to keep the modifications in the product description and do not use Shortcut rules, you may leave it set to "Custom". If you want the rules to be applied to this product, you need to set the necessary Shortcut again.



The product in the Export Service to which the Shortcut was applied has been re-linked to a different Sellbery Product.

Every product in Sellbery Service is linked to at least one listing in the Export Service.

The link between products cannot be removed but it can be switched to a different listing. So, if the link has been switched after the Shortcut was applied, Sellbery changes the Shortcut to "Custom" and allows you to review the product data and determine whether any rules need to be applied. If so, you may choose one of the existing Shortcuts or create a new one with the necessary rules.

To summarize the above - there are two ways of modifying the product attributes on Sellbery:
1. Make the changes in the Shortcut rules or create a new Shortcut.
2. Change the Shortcut to Custom and make the changes in the necessary attribute of a specific product.
